Cancellation Policy
Booking a trek with Himalayan Advent requires you to understand our trek cancellation policy
to ensure an easy and transparent process. Please read our terms carefully before confirming your booking.
Under unforeseen circumstances such as adverse weather conditions, personal emergencies, or government
restrictions, the company may cancel the trek — making it essential to be aware of our refund and
rescheduling policies.
This section outlines the Himalayan Advent Trek Cancellation Policy, including detailed
guidelines on refund eligibility, rescheduling options, and the importance of obtaining trek insurance.
We strongly advise trekkers to review these terms of trek cancellation & refund carefully before
confirming their booking.
Trek insurance is highly recommended, as it provides financial protection against
unexpected cancellations and medical emergencies. By familiarizing yourself with these policies, you
can make informed decisions and plan your trek with confidence.

Cancellation Policy Rules & Guidelines
If Cancellation Is Requested By The Trekker
If a trekker needs to cancel their booking, it is necessary to inform us in writing
via email or through our official contact form. The refund calculation will be based on the date we
receive the cancellation request.
The following refund structure applies:
30+ days before the trek start date — 90% of the trek cost will be refunded.
21 to 30 days before the trek start date — 50% of the trek cost will be refunded.
Less than 20 days before the trek start date — No refund will be provided.
Refunds, if applicable, will be processed within 7–8 business days after confirmation
of the trek cancellation request.
If Trek Is Cancelled By Himalayan Advent
In certain cases, Himalayan Advent may cancel a trek due to natural disasters, government restrictions,
or safety concerns. In such instances, the following options will be provided to trekkers:
An alternative trek at the same cost, subject to availability.
A voucher valid for 1 year, which can be used for future bookings.
Please note: In the event of trek cancellations initiated by Himalayan Advent,
no cash refunds will be issued.
If The Trek Is Halted Due To Bad Weather Or Route Closure
Himalayan Advent will suggest an alternate trek, if feasible, to continue the adventure safely.
No refund will be provided if the trek is interrupted due to unforeseen weather conditions or government-imposed route closures.
If no suitable alternative trek is available, a voucher valid for 1 year will be issued, with deductions based on the number of completed trek days.
If A Trekker Leaves Midway Due To Personal Reasons
No refund will be issued for unused trek days if a trekker decides to leave midway due to personal reasons, including medical conditions or emergencies.
Himalayan Advent will help arrange emergency evacuation if required, but all associated costs must be borne by the trekker.
If you choose to leave the trek midway due to personal reasons, Himalayan Advent cannot be held responsible under any circumstances.
Any changes such as trek timing, pickup location, or other modifications will not be included in our package.
How To Request A Trek Cancellation Or Refund
To initiate a trek cancellation or refund request, please follow the steps outlined below:

Your unique booking reference number
The name of the trek and the scheduled start date
A brief reason for the cancellation
Step 3: Refund Processing
Upon receiving your cancellation request, our team will process any eligible refunds within 7–8 business days.

Why Trekkers Should Get Trek Insurance?
Trekking in high-altitude regions like the Himalayas involves inherent risks, including unpredictable
weather, altitude sickness, and potential injuries. We strongly recommend that all trekkers purchase
comprehensive trek insurance.
1. Medical Emergencies & Evacuation
High-altitude sickness and injuries can occur at any time during the trek.
Trek insurance should cover emergency medical expenses, evacuation, and hospitalization costs.
In case of severe emergencies, helicopter evacuation may be required, which can be costly if uninsured.
2. Trip Cancellation & Delays
Unforeseen cancellations due to personal emergencies, natural disasters, or government restrictions may result in financial losses.
A good trek insurance policy provides compensation for prepaid trek costs in case of cancellations or delays.
3. Lost Or Damaged Equipment
Trekking involves carrying essential gear, and loss or damage can occur.
Insurance policies covering lost, stolen, or damaged trekking gear ensure trekkers do not bear unexpected expenses.
4. Personal Liability & Accidents
Some policies also provide coverage for accidental damage or third-party liability.
This can be beneficial in case of unforeseen incidents involving other trekkers or property.
5. Mandatory Insurance For High-Altitude Treks
Certain high-altitude treks may require mandatory insurance coverage before participation.
We advise trekkers to verify their trek insurance policy covers trekking above 4,000 meters altitude.
By securing comprehensive trek insurance, trekkers can begin their trekking adventure with confidence,
knowing they are protected against potential financial and medical challenges.
Note: Himalayan Advent does not provide or cover trek insurance, and it remains the
trekker's responsibility to ensure they have adequate coverage before commencing their trek.
